Job Description

Purpose & Scope:

The Administrative Manager  supports the Operations Manager with the operational and financial management of the VHC Health Foundation. Provides critical donor and prospect research reports to support the Foundation’s strategy and goals. This role requires strong technical computer skills.

Prospect Research – Supports Foundation staff by preparing timely, comprehensive, and accurate reports on donors and prospects. Comfortable using donor research software (targeted Google searches, ResearchPoint, GuideStar, Foundation Directory Online, iWave, DonorSearch, Wealth Engine, etc.). Takes a proactive approach to researching donor and prospect capacity and assists in the implementation of the Foundation’s prospect management strategies.

Database Management – Performs frequent, routine database updates. Responsibilities include, but are not limited to, assisting in developing comprehensive technical strategies to support VHC Health initiatives; database clean­up; creating custom analytical reports; documenting processes to maintain data integrity; managing donor unsubscription requests; assisting with on­boarding and training staff; and assisting with all Foundation staff technical issues. The Administrative Manager will serve as backup for the Operations Manager.

Gift Administration - Administrative Manager provides appropriate documentation of every gift made to VHC Health Foundation. Responsibilities include, but are not limited to, entering gifts into the Raiser’s Edge fundraising database; preparing daily, weekly, monthly, quarterly, and annual financial reports; financial reporting to support preparation of annual 990 application; annual audit for Foundation; supporting monthly reconciliation of revenue for the Foundation; receipt and distribution of in­kind donations; and management of a multimillion-dollar pledge schedule. Responsibilities also include editing and drafting all gift acknowledgement letters; pledge reminders; invoices; and managing the mailing schedule. In addition, this position oversees all tribute gifts and updates in memoriam family members and hospital employees.

Office Management - Facilitates donor stewardship as a contact for VHC Health Foundation, in person, by email and by phone, and provides administrative and development support. Responsibilities include, but are not limited to, assisting all members of staff on special projects, event support, mass mailing support, and editing publications.

Education:

Bachelor's in a related field is preferred.

Experience:

Two years of Fundraising in Healthcare preferred.

Two years of Prospect Research preferred.

Two years of Database Management preferred.

Two years of Raiser’s Edge preferred.

Four years of Microsoft Office Suite required.

Certification/Licensure: None.
